Position Summary
Under direct supervision the Coordinator – Facilities & Fleet position is responsible in assisting with the planning, coordinating, and allocating physical assets, vehicles and resources at Washoe Native TANF Program (WNTP) sites. This includes working in collaboration with WNTP staff, and external vendors to ensure appropriate equipment and facility needs are met and provide support to Manager – Facilities & Fleet (hereinafter referred to as “Supervisor”). Maintains confidentiality of all privileged information.-
Associate’s Degree and 2 years of project management experience; or equivalent combination of education and experience.

Preference will be given to qualified Native American Indians.

Participate in the procurement, maintenance, and tracking of program vehicles, furniture, and other assets.

Assist Supervisor in identifying and developing new or existing leased properties. Complete necessary inspections to detect maintenance and safety issues. Recommend solutions when necessary. Develop and maintain landlord relations.

Assist Supervisor in the design office space to meet program requirements, to ensure projects are on task and meet specifications.

Perform needs/cost analysis to ensure market comparable and cost-effective solutions are used and provide necessary procurement and contract documentation as required.

Maintain inventory records of all incoming and outgoing assets, equipment, and materials. Investigate and resolve inventory discrepancies. Reconcile inventory with purchase orders and invoices.

Perform required physical inventory and collaborate with Contracts Department to determine appropriate property tax levels.

Monitor expiration dates of warranties, service contracts and maintenance intervals on vehicles.

Establish and maintain required storage facilities, annual inventory and reports of those facilities.

Work with Safety Committee and maintain Safety and Emergency Action Plans (SEAPs) and inspect safety equipment on a regular basis. Ensure that all employees are familiar with the SEAPs. Coordinate with local law enforcement and other emergency response agencies to ensure effective response to any emergency.

Respond to office alarms and investigate disturbances at any time as needed.

Work with Supervisor, Site Managers, and Deputy Directors to perform and complete Site Self-Inspection Worksheets.

Assist in long-term planning and provide input and periodic reports to Supervisor and Executive Management as requested.

Work in conjunction with the Information Technology (IT) department to ensure appropriate data/telecom and technology equipment needs are met.

Complete small building maintenance work orders that may vary depending on the size and scope of the project.

Perform other duties as required.

Knowledge of general goals and purpose of WNTP and services, and of the various codes pertaining to the structures in use by the program.

Knowledge of heating, ventilation, and air conditioning (HVAC), plumbing, electrical systems, drywall, painting and carpentry.

Ability to understand and maintain vendor contracts, lease requirements, and have a clear understanding of County, State and Tribal land jurisdictions.

Knowledge of and ability to communicate effectively in English, both verbally and written using proper spelling, grammar, and punctuation.

Ability to establish and maintain professional relationships with individuals of varying social and cultural backgrounds.

Ability to represent the organization in a professional manner, building respect and confidence.

Ability to handle multiple tasks and meet deadlines.

Ability to work independently with minimal supervision.

Knowledge of modern office practices, procedures, and equipment.

Skill in operating business computers and office machines, including in a Windows environment, specifically Word, Excel, Access, and presentation software (such as PowerPoint).

While performing the duties of this job, the employee is regularly required to walk, stand and sit; use hands and fingers to handle or feel; reach with hands and arms; and talk or hear. The employee is frequently required to travel up to 50% of the time, with occasional overnight trips, and must be able to drive motor vehicles during daylight and nighttime hours, in rural and urban areas, and in adverse weather and traffic conditions. The employee will also be frequently required to lift, carry and move objects exceeding 50 pounds.

Work is regularly performed both indoors in an office setting with a moderate noise level and outdoors where exposure to natural weather conditions and various dusts and mists may occur. Prolonged standing and walking may be on uneven surfaces or unstable ground. Situations where safety-toe shoes, safety goggles, gloves, protective face shields, or hardhats are needed may occur.
