Position Summary

Under direct supervision, the Grants Specialist II is responsible for providing administrative assistance to the department including document organization, data entry, and filing. Works closely with the Grants Manager to maintain organizational and project management systems including tracking projects, tasks, priorities, submission and reporting schedules, and grant budgets. Conducts grant research and prepares grant summaries. Assists in the development of grant reports, budgets, and grant materials for presentation to the Tribal Council. Maintains confidentiality of all privileged information.
Minimum Qualifications
  • Associate’s degree plus three years of progressively responsible legal secretarial or grant management experience; or equivalent combination of education and experience.

  • Must work on-site at Tribal Headquarters Gardnerville, NV.

Essential Duties & Responsibilities
  • Secures required documentation on awarded grants from internal departments and Finance. Maintains electronic and paper files on current grants and contracts, including submitted applications, notices of award, grant amendments, budget and scope modifications, grant reports, and related correspondence. Archives closed award documentation.

  • Enters information on grants and contracts including grant tasks and reporting; grant budgets; grant deliverables, and grant documentation into the Grants Management system.

  • Provides grants management system training to department staff, as required.

  • Participates in initial grant review meetings with the Grants Manager, Finance, and department staff.

  • Updates submission tracking and planned submission lists and assists in scheduling and following up on tasks as directed

  • Monitors deadlines on grant reports, closeouts, and planned submissions, flagging and informing the Grants Manager of upcoming deadlines.

  • Provides coordination and compilation of Tribal demographic data, statistics, and resource information as it relates to and for grant applications.

  • Finds documents or information in documents in the files or on the Internet as requested.

  • Research grant opportunities and prepare opportunity summaries as requested

  • Prepares summaries of awarded grants including the Grant Name, Award #, ALN/CFDA#, Tribal Department/Manager, Grantor contact information; contract start and close dates, matching amounts, anticipated annual solicitation dates, reporting dates/types/system, grant abstract, deliverables, and timelines.

  • Prepares correspondence, reports, minutes, agendas, forms, resolutions, and other documents and communications as requested including editing and reviewing documents for correct grammar, punctuation, and spelling.

  • Maintains inventory of office supplies.

  • Attends meetings and takes minutes as requested.

  • Performs other duties as required.

Knowledge, Abilities, Skills, and Certifications
  • Knowledge of business English, proper spelling, grammar, punctuation, and basic arithmetic.

  • Knowledge of records management and basic accounting procedures.

  • Detail-oriented skills, paying close attention to all of the small particulars when working on a task or project.

  • Skill in operating business computers and office machines, including in a Windows environment, specifically Word, Excel, Access, and presentation software. Experience using a database to collect and organize information is preferred.

  • Ability to work cooperatively with various government officials.

  • Ability to establish and maintain professional relationships with individuals of varying social and cultural backgrounds and with co-workers at all levels.

  • Ability to represent the organization in a professional manner, building respect and confidence.

  • Ability to handle multiple tasks and meet deadlines.

  • Ability to carry out instructions furnished in verbal or written format.

  • Ability to work independently with minimal supervision.

  • Ability to learn the navigation and use of governmental grant reporting operating systems, forms, and websites.

  • While performing the duties of this job, the employee regularly is required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee frequently is required to walk. The employee occasionally is required to stand; and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 25 pounds.
