Position Summary

Under direct supervision the Receptionist performs daily activities for the Administration Offices of Washoe Tribe including operating a multi-line telephone, answering incoming calls, and directing callers and visitors to appropriate personnel. Performs clerical duties as needed. Maintains confidentiality of all privileged information.
Minimum Qualifications
  • High School Diploma or GED plus six months related experience; or equivalent combination or education and experience.

  • Must possess and maintain a valid California or Nevada driver’s license or capable of obtaining one within thirty-days (30) of employment.

  • Must be able to be insurable by the Tribe’s Driving Policy.

  • Must be able to successfully pass a pre-employment drug/alcohol screen.

  • Preference will be given to Qualified Native American Indians.

Essential Duties & Responsibilities
  • Answers incoming telephone calls, determines purpose of calls, and forwards calls to appropriate personnel or department, ensuring professional telephone etiquette.

  • Records and delivers or posts messages or transfers calls to voice mail when appropriate.

  • Retrieves messages from voice mail and forwards to appropriate personnel.

  • Welcomes visitors, determines nature of business, and announces visitors to appropriate personnel, maintaining professional and courteous demeanor. Answers questions about program services and provides general information.

  • Responds to general questions and requests for information from the public and Washoe Tribal members.

  • Ability to maintain confidentiality.

  • Maintains employee sign-out/sign-in sheet.

  • Receives, sorts, logs, and routes mail.

  • Maintains and operates postal meter and fund allocation.

  • Photocopies, collates, distributes, and files documents as requested.

  • Transmits outgoing faxes, and retrieves, logs, and distributes incoming faxes.

  • Type correspondence as requested.

  • Receives applications for Job Applicants.

  • Completes state motor vehicle tax-exempt forms for eligible members and logs them.

  • Maintains and updates phone system/List for administration as needed.

  • Skill in operating business computers and office machines, including in a Windows environment, specifically Word, Excel, Access, and presentation software (such as PowerPoint).

  • Assist with Administrative tasks such as Newsletter, typing, mailing, and forms.

  • Assists with inventory and ordering of breakroom supplies.

  • Contributes to a team effort and accomplishes related results as required.

  • Performs other duties as assigned.

Physical Demands
  • While performing the duties of this job, the employee regularly is required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee frequently is required to walk. The employee occasionally is required to stand; and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 25 pounds.

Work Environment
  • Work is generally performed in an office setting with a moderate noise level.
