Position Summary

Under direct supervision the Receptionist performs daily activities for various Health Center departments including operating a multi-line telephone, answering incoming calls, making appointments and directing callers and visitors to appropriate personnel. Performs clerical duties as needed. Maintains confidentiality of all privileged information.
Minimum Qualifications
  • High School Diploma or GED and one year clerical experience or combination of education and experience.

  • Must possess and maintain a valid California or Nevada driver’s license or capable of obtaining one within thirty-days (30) of employment.

  • Must be able to be insurable by the Tribe’s Driving Policy.

  • Must be able to successfully pass a pre-employment drug/alcohol screen and background investigation.

  • Preference will be given to Qualified Native American Indians.

Essential Duties & Responsibilities
  • Notifies patients of forthcoming appointments and/or changes in appointments either by telephone or through the U.S. mail.

  • Responsible for accurately updating patient charts.

  • Receives patients politely reporting for medical and specialty services provided by the Health Center.

  • Notifies appropriate staff after correctly pulling proper patient charts or documents.

  • Recognizes those patients who may require emergency or other special needs and notifies appropriate staff in a timely manner.

  • Acknowledges patient question's regarding health matters, i.e. referrals, appointments and billings.

  • Provides prompt assistance to providers and patients as required.

  • Requests authorization for release of patient medical information as required.

  • Selects and compiles information from Medical Records in response to requests from physicians or other agencies authorized to receive information and maintains highest degree of strict confidentiality relating to work and/or patient involvement and other related duties as required.

  • Coordinates appointments for specialty clinics, including but not limited to visiting specialists and outside contract providers.

  • Responsible for accurately coordinating appointments for Medical Clinic departments.

  • Responsible for keeping informed of patient eligibility criteria for direct care services and/or Contract Health Care Services.

  • Responsible for knowledge of and adherence to Policies and Procedures of the Washoe Tribal Health Center.

  • Answers incoming telephone calls, determines purpose of calls, and forwards calls to appropriate personnel or department, ensuring professional telephone etiquette.

  • Records and delivers messages or transfers calls to voice mail when appropriate.

  • Retrieves messages from voice mail and forwards to appropriate personnel.

  • Welcomes visitors, determines nature of business, and announces visitors to appropriate personnel, maintaining professional and courteous demeanor.

  • Prepares and maintains records and logs of schedules, rosters, and directories.

  • Receives, sorts, logs, and routes mail.

  • Maintains phone system and other office equipment, performing or coordinating general maintenance and repair.

  • Photocopies, collates, distributes, and files documents as requested.

  • Assists in organizing and advertising for Health Center events.

  • Transmits outgoing faxes, and retrieves, logs, and distributes incoming faxes.

  • Types correspondence as requested.

  • Prepares correspondence from providers for post, makes appropriate chart copies for files.

  • Assists with inventory and ordering of medical and of office supplies.

  • Establishes and maintains an effective filing and retrieval system.

  • Attends meetings and takes and distributes minutes as requested.

  • Contributes to a team effort and accomplishes related results as required.

  • Maintains professional communication and appearance with patients, co-workers and outside contacts.

  • Performs other duties as assigned.

Knowledge, Abilities, Skills, and Certifications
  • Knowledge of modern office practices, procedures, and equipment.

  • Knowledge of business English, proper spelling, grammar, punctuation, and basic arithmetic.

  • Knowledge of records management.

  • Knowledge of proper use of telephone procedures, including appropriate personality to communicate effectively, courteously and in a timely manner.

  • Ability to communicate effectively in the English language both verbally and in writing.

  • Ability to grasp and retain accurately the use of medical reference terms, materials and information.

  • Ability to maintain an effective, courteous and cooperative working relationship with Washoe Indian families and other individuals.

  • Ability to work effectively and cooperatively as a Clinic staff and team member.

  • Ability to establish and maintain professional relationships with individuals of varying social and cultural backgrounds and with co-workers at all levels.

Physical Demands
  • While performing the duties of this job, the employee regularly is required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee frequently is required to walk. The employee occasionally is required to operate a motor vehicle, stand, stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 25 pounds.

Work Environment
  • Work is generally performed in an office setting with a moderate noise level.
